EXTENDED documentation for SALETRAC.EXE
V 2.2
Section 1 :
Use of customer database.
The program initializes with the main entry screen showing on the screen.
You may use the 'UP' key to move to the PREVIOUS record, or the 'DOWN' key
to move to the 'NEXT' record. You may also position the 'HIGHLIGHT BAR' to
'PREVIOUS' or 'NEXT' to accomplish the same thing. If you position the
highlight bar to 'ADD' and press the enter key, you will be allowed to enter
new customer. If you position the 'HIGHLIGHT' bar to 'EDIT', and press the
'ENTER' key, you will be given a number of choices regarding the editing and
viewing of existing records in the database.
Topic S1-1: EDIT THIS RECORD
If you select 'EDIT THIS RECORD' from the 'EDIT' sub-menu,
then you will be positioned on the first field of the 'CURRENT' record, and
will be allowed to edit that field. Pressing the enter key will move you
to the next field in the database record. While in the edit mode, you may
use the arrow keys to move from one field to another and do editing. If you
press the enter key while positioned on the last field, the record is saved,
and the 'HIGHLIGHT' bar is again active. Ctrl-End also saves the "edited"
record to disk.
Topic S1-2: MEMO FIELD EDIT
If you select 'MEMO FIELD EDIT' from the 'EDIT' sub-menu, then you will be
allowed to the the built in text editor to edit the memo field 'FOR CURRENT
RECORD'. The built in editor is very powerful. You may use cursor keys to
move around in the memo window, as well as the PgUp and PgDn keys.
Additionally, the following commands are recognized:
Top of Memo : Ctrl-QR
Bottom of Memo : Ctrl-QC
Beginning of line : Home
End of line : End
Delete char : Del
New Line : Ctrl-M
Search : Ctrl-QF or F9
Search and replace : Ctrl-QA or Shft-F9
Save and EXIT : Ctrl-End
Exit but DON'T save : ESC
Set word wrap option: Ctrl-OW
Mark block (Begin) : Ctrl-KB or F7
Mark block (End) : Ctrl-KK or F8
Delete marked block : Ctrl-KY
Move marked block : Ctrl-KV
Read marked block : Ctrl-KR
Write marked block : Ctrl-KW
Copy marked block : Crtl-KC
Print : F6
Set Print Parameters: Shift-F6
Select default DIR : Shift-F2
Delete ALL text : Shift-F10
A nice feature is the Read/Write marked block feature.
You can import an often used phrase with only a few keystrokes
For instance, lets say that you often put the following in your
memo field:
Delivered quote and letter of intent.
You could put it in a memo field, and mark it by using mark (begin)
and mark(End) commands. Then you could 'WRITE' it to any text file
name, such as DELQUOTE.TXT, by using the 'WRITE BLOCK' key, which is
Ctrl-KW. Then, the next time you want to put that specific piece of
information in your memo field, (ANY MEMO FIELD), you can use the
'READ BLOCK' command, which is Ctrl-KR. You will be presented with
a list of the previously 'BLOCK-WRITTEN' files, and you can select
the appropriate one to insert in your memo! EASY !
Topic S1-3: MEMO FIELD EDITOR RESIZE
The program gives you two default sizes for the memo editor window.
You can 'RESIZE' the editor to any size you want by pressing the
scroll lock key, and then pressing right-shift & cursor to cause the
edit window to grow. Left shift and cursor causes the memo window
to shrink. Pressing ESC allows text to be edited again. The Resize
values stay in effect until the program is ended, or until resize
is called again.
Topic S1-4:
Changing the indices:
Any search causes adjustment the current index to the search field
index. You can tell which index is current by looking at the CURRENT
INDEX' status report displayed in the 'mid-left' portion of the main
entry screen, above the contact-date box area. You can change the
index without searching on a field by choosing SET OTHER INDEXES from
the 'EDIT' sub-menu. The 'CUSTOMER' index is the program default
index.
Topic S1-5
Searches.
A search by any other name ...
A search on the 'NEXT CONTACT DATE' field amounts to an appointment
reminder search. A preformatted report is provided (to screen or
to Printer) via the 'REP' (Report) selection from the top menu bar.
All searches are 'CLOSEST MATCH AFTER' searches. E.G., select the
'SEARCH CUSTOMER' from the 'EDIT' submenu. You will be prompted to
enter a customer to search for on the bottom line of the main entry
screen. If the EXACT MATCH for the customer is NOT found, then the
program positions the CURRENT RECORD to the CLOSEST with the next
greater key!
ALL SEARCHES, INCLUDING DATE SEARCHES, ARE CLOSEST-NEXT-KEY SEARCHES
Section 2: Files
A number of things can cause you indices to become corrupted. This
can happen when an unexpected power down occurs in the middle of a
session. If you get the 'CORRUPTED INDICES' message, then delete
all files with the .IND extension. When you run your program again,
the indices will all be rebuilt.
Your .DBF file can not be so easily repaired. Be sure to back up
the SALETRAK.DBF file regularly, to prevent loss of your data. Many
commercial products are available for this purpose.
As the indices are rebuilt, a progress bar shows, on a basis of 0%
to 100%, the progress of the index building process. Depending on
the total number of records in your database, the rebuilding may
take a long or a short period of time. In very large databases,
the rebuilding can take 30 minutes. Only four 'DEFAULT' indices
are rebuilt immediately. Others are only rebuilt when they are
called upon. (Zip code, for instance). The .DBF file in your
database is dBase compatible. The index files are not. Therefore,
if you use a dBase product to manage the SALETRAK.DBF file, you will
need to recreate whichever indices you are interested in using in
the dBase environment.
